JOB DESCRIPTION

SOS International LLC (SOSi) is seeking a qualified Travel Coordinator to work in our Reston, VA office. The Travel Coordinator will be responsible for coordinating all assigned travel requests in an efficient, courteous, professional and timely manner. Travel requests will be submitted to the Coordinator via email by the program’s Operations Coordinators. Travel requests will include reservations for airline, hotel, rental car, Amtrak, and/or other modes of transportation. The perfect candidate must be extremely flexible and willing to work weeknights and weekends. All Travel Coordinators will rotate weekend work and responsibility for answering the SOSi DOJ Travel Department’s Emergency HOTLINE which is manned 24/7. They will work with CONCUR and Egencia to book travel on a daily basis under the direct supervision of the program Travel Supervisor and work in conjunction with the corporate Travel Manager, the program Operations Manager and other key personnel.  The successful candidate for this position will possess the ability to function with minimal supervision in a team environment and facilitate cost-effective travel arrangements within the company’s guidelines and standards of excellence for customer service.

ESSENTIAL JOB DUTIES

  • Coordinate and complete domestic travel arrangements for independent contractors supporting the DOJ EOIR program, to include airline reservations, hotel accommodations, car rentals, trains, and other ground transportation services at the best logical price possible, utilizing all applicable discount programs
  • Finalize itineraries and generate all travel documents in accordance with corporate travel guidelines, customer preferences and other requirements
  • Maintain and update travel files and log, follow up and track each travel record until departure in order to ensure that all details are completed to the customer's satisfaction
  • Possess and maintain knowledge of airline rules and regulations, tariffs, and fare requirements, as well as the ability to accurately apply this information to the processing of all travel arrangements
  • Stay abreast of technology and industry trends and updates, including but not limited to use of the intranet resources and tools provided by SOSi’s Travel Management Company
  • Maintain customer profiles in CONCUR and Egencia; ensure appropriate profile information is used when booking travel requests
MINIMUM REQUIREMENTS
  • Strong computer skills (Microsoft Outlook a must)
  • Minimum of 1-3 years of experience as a Travel Consultant/Travel Agent or coordinator
  • Strong working knowledge of all aspects of ticketing transactions, re-routing and exchange processes
  • Thorough understanding of the importance of quality and accountability with respect to revenue-generating tasks and responsibilities
  • Must be detail-oriented and possess effective organization, problem-solving and time-management skills
  • Spanish speaker preferred with excellent communication and interpersonal skills
  • Flexibility and ability to multi-task and meet deadlines in a dynamic, fast-paced work environment
  • Must be able to take direction, work well with others and contribute positively to a team environment
  • Availability to work nights and weekends
  • Perform other duties as assigned

WORK ENVIRONMENT
  • Working conditions are normal for an office environment
  • Usual working hours are 9 AM – 6 PM Wednesday to Sunday
  • Requires periods of non-traditional hours including consecutive nights or weekends when necessary
