The Program Coordinator/DPM will support the Program Manager by providing program deliverables, timekeeping, travel and visa coordination; and will assist in overseeing the day-to-day aspects of the Iraqi Cultural Advisor (ICA) program. The position will also serve, when needed, as a Rover Escort and Administrative Assistant.

The Program Coordinator/DPM manages the Emergency Action Plan, and interfaces with Embassy counterparts on the warden notification plan. As DPM, this position will provide daily direct oversight of program operations, customer communication and funding planning.

This position will have supervisory authority in the absence of the Program Manager.

ESSENTIAL DUTIES

  1. Primary author of weekly and monthly report deliverables.
  2. Ensure documentation is submitted on schedule and is in compliance with program requirements
  3. Work with travel management team to support travel of on-site staff
  4. Provide ad-hoc administrative support to Program Management Office
  5. Oversee translation services
  6. Develop program schedule and perform weekly updates for inclusion in client deliverables
  7. Provide deployment coordinator support related to transportation, security, and infrastructure deployment

Additional Rover duties as needed, include escorting Embassy visitors with restricted access as directed by the RSO around the embassy compound and buildings. Escorts will at a minimum follow the RSO established protocol while escorting visitors; remain with guests at all times; follow established protocols for each building entered. Utilizes the most direct unclassified route to each destination and immediately report any violations or issues to the RSO.Provide general office management support, as required to include logistical support, clerical, document review for content and format, and file maintenance. Coordinates meetings, schedule conference rooms, and assist with drafting visitor’s itinerary; provide strong customer service skills; maintain accurate records; in-process all new employees to include coordinating pick-up from the helicopter landing pad to the embassy, and assisting with check-in.

EDUCATION and/or EXPERIENCE

High school diploma or equivalent and three (3) years of office management experience; OR a two-year college degree in Office Management, Business Administration, Computer Technology, Web Development or other related field together with two years of office management experience.

KNOWLEDGE, SKILLS AND ABILITIES

  • Proficient in MS Excel, MS Word, MS PowerPoint, Adobe
  • High attention to detail
  • Strong written and verbal communication skills
  • Proficiency in Arabic preferred
  • Must possess excellent follow through skills
  • The ability to work in a fast-paced environment, maintain positive working relationships and work well individually under direct supervision, and as part of a team is also necessary

LANGUAGE(S)

Level 4/4 in English is required.

Level 2/2 in Arabic is required.

CLEARANCE LEVEL

Secret
