TheProgram Assistant will assist, identify,analyze, update, support, schedule, organize, maintain, and manage for thecontract to provide support across all programmatic and technical officeswithin the USAID Middle East Bureau, as assigned.

Duties andResponsibilities:

  • Plan,coordinate, and perform secretarial and administrative functions as needed, toinclude:
    • Maintain calendars
    • Schedule meetings
    • Maintain files
    • Handle mail andcorrespondence
    • Program documentpreparation
    • Presentations
    • Escort visitors
    • Preparetravel-related documentation
    • Make travelarrangements for the ME Bureau Front Office staff, as assigned.
  • Coordinatecorrespondence with the Offices in the ME bureau and the missions whennecessary.
  • Setup bi-weekly conference calls with the ME Bureau Missions, Offices and RegionalPlatform.
  • Providerecords maintenance and other duties as assigned related to area(s) ofresponsibility.
  • Managecontrol and filing/library maintenance.
  • Maintainsupplies for the front office, proactively restocking items that may be inshort supply or out of stock.
  • Actas the main time keeper for the Bureau, ensuring all times cards are processedon time coordinating with supervisors to ensure their staff timecards have beenverified.
  • Workwith the Administrative Management Services (AMS) Office to ensure IT equipmentis functioning properly or updated as needed.
  • Workwith AMS to ensure all other office equipment and furniture is functioningproperly, clean and presentable.
  • Prepareprogram/project tracking, reports and success stories.
  • SupportUSAID liaison and coordination efforts with other donors, NGOs, civil societygroups, government officials, and other actors.
  • Providetechnical and program related conference and event planning.
  • Serveas logistical backstop to staff, including TDY staff, for establishing meetingschedules and securing workspace, arranging electronic support, and relateditems.
  • Assistthe Special Assistant as needed and appropriate.
  • ProvideWashington-based backstop, limited field support, and general administrativesupport, as needed.
  • Otherduties as assigned

Minimum Qualifications: (To perform this job successfully,an individual must be able to perform each essential duty satisfactorily.)

  • Bachelor’s Degree required.
  • 1+ years’ experience OR theequivalent combination of education and professional experience.
  • Secret Clearance required, interimaccepted.

Knowledge, Skillsand Abilities:

  • Proficiency in the use of MicrosoftOffice, internet and e-mail applications.
  • Experiencein the use of database applications is preferred.
  • Abilityto communicate effectively written and verbally.
  • Ability to travel throughout NorthAfrica and the Middle East, as appropriate and approved.

  • While performing the duties of thisJob, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand; climb orbalance and stoop, kneel, crouch, or crawl. The employee must occasionally liftand/or move up to 25 pounds. Specific vision abilities required by this jobinclude close vision.

  • The employee will normally work ina temperature-controlled office environment, with frequent exposure toelectronic office equipment.
  • During visits to areas ofoperations, may be exposed to extreme cold or hot weather conditions. Is occasionally exposed to fumes or airborneparticles, toxic or caustic chemicals, and loud noise.
