Management Assistant Senior

The Administrative Assistant to the Gladiator Programs will consist of a wide range of duties/skills; duties include, but are not limited to: back up and assist the Executive Assistant, calendar management, preparation of correspondence and reports, file management and maintenance, data and statistical analysis, as well as scheduling conference rooms and routing calls appropriately. The position requires the successful candidate to have thorough knowledge of Microsoft Office software applications for the preparation of correspondence, charts, and presentations. Candidates must have the ability to receive and screen incoming telephone calls, and provide information to callers or redirect the telephone calls to other appropriate personnel.

Responsibilities also include managing program area supplies, arranging appointments, meetings, special events, travel schedules/reservations, and preparing business expense reports in a timely manner. There will be special assignments that require the successful candidate to exercise independent judgment, and handle information of a sensitive and confidential nature.
The Administrative Assistant will monitor administrative assignments and workflow within the organization to set priorities for meeting deadlines. This includes following up to ensure a timely response to projects and assignments. The ability to exercise discretion and independent judgment, and handle sensitive and confidential information is critical.
Additional duties include:

  • Set up and maintains files needed for program area use.
  • Input data into various company systems.
  • Arrange meetings and reserve conferences rooms.
  • Receive, refer and answer email.
  • Utilize MS Office software applications and other office tools and equipment.
  • May compose reports, correspondence and memorandums.
  • Answer questions relating to office operations and established policies and procedures.
  • Generate charts, tables, memoranda, reports, correspondence and other materials with speed and accuracy.

Required Skills:
  • Minimum 4 years experience coordinating/leading teams or as an Administrative Assistant
  • Experience planning and organizing schedules and events
  • Experience supporting a leader in a geographically distributed organization
  • Experience using Microsoft PowerPoint, Excel, Word, email and collaborative communication tools.
  • Experience in an interpersonal/customer service environment, with the ability to work effectively with internal teams and external customers and suppliers, at all levels of the organization, while demonstrating a positive, professional attitude
  • TS/SCI required day 1
Desired Skills:
  • Previous Raytheon experience preferred, including knowledge of common company policies
  • Outstanding written and verbal communication skills, and outstanding organizational and interpersonal skills.
  • Must be reliable, organized, flexible, detail oriented and prioritize effectively.
  • Ability to transform ideas and concepts via verbal instruction into a PowerPoint presentation or email.
  • Must be a self-starter, able to effectively function with minimal supervision and respond to multiple, time-constrained tasks with the highest degree of confidentiality in a dynamic environment.
  • Must have experience working in a multitask environment while maintaining flexibility in a demanding front office environment.
Required Education (including Major):
  • High School diploma

U.S. Citizenship status is required as this position needs an active U.S. Security Clearance as of day one of employment.
