Jr Grants Coordinator

       

Position Summary

The Jr. Grants Coordinator will support the award making process of the U.S. Agency for International Development (USAID), Bureau for Democracy, Conflict and Humanitarian Assistance’s (DCHA), Office of Foreign Disaster Assistance (OFDA).  The Jr. Grants Coordinator is responsible for providing a high level of administrative support to USAID/OFDA’s Grant Unit and serves as central information clearinghouse for grant actions and correspondence with internal and external clients.  The position is also responsible for maintaining and tracking grant information in internal spreadsheets and USAID/OFDA systems.

Key Responsibilities

  • Record and track grant actions in OFDA’s award management system (Abacus) and internal databases.
  • Prepares award files for USAID/OFDA’s Agreement Officer’s approval and facilitates the distribution of executed award documents to grantees.
  • Maintain electronic and hard copy files and systems in compliance with U.S. Government and USAID standards.
  • Assist with entering award data into USAID/OFDA’s financial and document repository systems (GLAAS, and ASIST systems)
  • Generates and tracks Agreement Officer Representative (AOR) designation letters for signature.
  • Assist in responding to inquiries from AORs and grantees on award statuses.
  • Coordinate logistics for the Grants Unit, including scheduling meeting and managing administrative arrangements, as appropriate.
  • Perform other duties as assigned.

Education, Experience, and Skills

Education:

Bachelor’s Degree required.

Experience:    

1-4 years of office experience including internships.

Skills:             

  • Ability to multi-task in fast-paced environment.
  • Excellent organizational skills and outstanding attention to detail.
  • High level of integrity, professionalism including teamwork and ability to deliver within short deadlines, work under pressure and multi-tasking skills.
  • Perform assigned duties independently with minimal supervision and/or work in teams, as needed.
  • Professional level skills in both oral and written communication
  • Familiarity with US Government entities in general and USAID in particular is desired.
  • Proficiency in using Microsoft Office (including Word, Excel, PowerPoint, and Access).

U.S. citizenship is required; selected candidate must be able to qualify for a government sponsored Secret Clearance.

Physical Requirements

While performing the duties of this job, the employee is regularly required to talk, hear, and use hands to finger, handle or feel objects, tools, or controls.  The employee is occasionally required to reach with hands and arms.  Specific vision abilities required by this job include close vision.  The employee must occasionally lift or move up to 25 pounds.
