Jacobs is seeking an Executive Assistant in Reston, VA. Duties will include:
  • Must coordinate daily events scheduling of senior officialsto attend meetings at the Executive level

  • Prepares a variety of documents,such as: correspondence, forms, reports, statistical tables, spreadsheets,etc., using advanced skills and knowledge of multiple software packages

  • Advises writers and researchers in matters ofstyle, syntax, and usage to improve the general quality and effectiveness ofcommunications

  • Shows discretion and initiative in the preparation of specialreports under general guidance

  • Coordinates frequent travel of senior level officials includingworldwide trip planning, individual itineraries and logistics arrangements, andmeeting accommodations

  • Our ideal candidate has theability to facilitate communication within all levels of the organization whichrequires good interpersonal skills, and knowledge of programs and practices offour diverse project management offices initiates lines of communication withoutside agencies to accomplish the mission. Ultimately, you should be able to identify and address theneeds of senior managers and perform administrative tasks to ensure ourcompany’s workflow runs smoothly

  • Maintain executive calendar and manage timeefficiently when scheduling meetings, conferences and briefings

  • Assist in event organization to include companyoffsite training, leadership offsites, annual golf charity event and businessconferences

  • Prepare and submit weekly operationalhighlights to Sr. VP of Mission Solutions

  • Research flight schedules, hotelaccommodations, rental vehicles and prices to select the best mode of travel toachieve a successful mission for the traveler. Prepare vouchers to reconcile travel documents for reimbursement andaccurate disbursement (desired)

  • Reconcile credit card statements

  • Set up meeting logistics (correspondence,meeting space, records meeting minutes, teleconference, or video teleconference(VTC)) for internal and external stakeholders

  • Read and acts on all incoming correspondence

  • Prepare reports and presentations thatexecutive can use to make business decisions

  • Manage budgets and other financial mattersrelated to offsite events

  • Responsible for managing budgets for activitiesrelated to the Employee Morale Committee (CORE), offsite leadership meetings,and the annual Golf Tournament

  • Lead special projects that may involve workingwith all levels of internal management and staff

  • Responsible for the planningand preparation for all leadership offsites and special projects to includedeveloping draft agendas, planning activities, compiling information to bepresented and delegating action items in preparation for the tasking

  • Will also attend leadership meetings,business strategy meetings and partner meetings to capture action items, trackprogress and report at the Executive Leadership Team meetings

  • Conduct internet research to keep the executiveup to date on things that are important to the company. Perform necessaryresearch to prepare the executive for meetings

  • This will include researching companies, products, solutions andcompiling the information into a meaningful report or presentation that theexecutive can refer to during his meeting

  • Requires two (2) years of college with courses in business administration, industrial management, or appropriate discipline with eight (8) years of progressive and relevant experience. Additional relevant education may be substituted for progressive experience
  • Solid experience with MS Office Suite(PowerPoint, Word, and Excel)
  • Strong verbal, written, and interpersonalcommunications skills
  • Ability to generate, and desire to communicate,innovative ideas in a collaborative environment
  • Experience exercising discretion andconfidentiality with sensitive company information
  • Mission oriented with strong critical thinkingand problem-solving skills
  • Demonstrate ability to handle multiplepriorities in a deadline-driven, changing environment
  • Must work well under pressure to meet deadlinerequirements
  • Must be able to interface with individuals atall levels of the organization both verbally and in writing
  • Must be well-organized with the ability tocoordinate and prioritize multiple tasks simultaneously

Essential Job Functions:

Work Environment:

General Office environment.The work environment is fast-paced and sometimes involves extreme deadlinepressures. The nature of the work requires a high degree of teamwork andcooperation with other members of the staff as well as individuals across theCompany and Customers.

Most work will be done at a desk or computer

Equipment and Machines:

General office equipmentincluding PC/laptop, Fax, Copiers, Shredder, Printers, Telephone, and othermiscellaneous office equipment.


Attendance is critical at alltimes. Must be able to work a 40-hour workweek, normally Monday throughFriday. However, times and days may vary depending on businessrequirements. Needs to be available to work overtime during critical peaks andbe available to meet last minute requests for overtime should the situationoccur.

Other Essential Functions:

Must take and pass a drug test and background check as well as a motorvehicle records check. Must demonstrate professional behavior at alltimes when dealing with customers, management and co-workers. Must be flexible and able to address quickshifts and change in priorities. Must have clear, concise and accuratecommunications skills in English, both verbal and written.Grooming and dress must be appropriate for theposition and must not impose a safety risk to employees or others.Must maintain a positive work atmosphere bybehaving and communicating in a professional manner. Independent personal transportation to officeor work site is required. Travel to and from customer’s locations and thetest fields may be required to support projects. This may involve airlinetravel. In some cases, accommodations can possibly be made for POV, ifnecessary. When operating any vehicle for work purposes, must wear seat beltand in addition, no cellular devices are to be used when vehicle is in motion.
