Executive Assistant


SAIC is seeking an Administrative Assistant who will provide direct executive-level assistance to presidentially appointed and career Senior Executive Service (SES) executives within the Office of the Deputy Assistant Secretary of Defense for Systems Engineering (DASD (SE)) located in the Pentagon, Mark Center or the Suffolk Building. SES: Senior Executive Service tasks include but are not limited to the following:

  • Scheduling, calendar management, time accounting, travel support (reservations, preparation material, vouchers), correspondence control, communications management (telephone and e-mail), preparation of meeting agendas, suspense and action tracking, preparation of briefings, security and public affairs coordination of briefings, recording significant discussions and action items, office infrastructure support (e.g., office supply management; photocopying, printing, scanning, and faxing), and other executive assistance duties as required.
  • Contribute to Assistant Secretary of Defense for Research and Engineering (ASD(R&E)) staff meetings with weekly reports on significant activities related to ASD(R&E) imperatives.
  • Serve as focal point for visit requests and parking requests for office employees visiting other installations.
  • Coordinate and support government personnel understanding of personnel management systems requirements, guidance and suspense; support annual update of goals, interim performance reviews, and final performance reviews.
  • Serve as the DASD (SE) training monitor including informing DASD (SE) government personnel of training requirements and tracking training status to ensure training requirements are met on time, and that appropriate compliance/completion reports are submitted.
  • Formulates and implements communications strategies to senior movement military and civilians.
  • Interprets DOD policy and guidance for communications, collaboration and coordination to assist senior executive defense leadership identify and mitigate programmatic risks.
  • Shape technical planning and management.
  • Support and advocate for DoD Component engineering initiatives.
  • Provide insight to OSD stakeholders.
  • Identify systemic engineering issues for resolution above the program level.


  • At least two years of relevant work experience in administrative role. 
  • Position requires a TS/SCI clearance.
  • Strong leadership, problem identification/resolution skills, flexibility, initiative, and a proven ability to work with Senior Executives efficiently and effectively (to include experience interfacing/communicating with Senior Executive leadership in both Government and Industry).
  • Ability to work independently and/or as a team member under tight deadlines with changing priorities.
  • Ability to prioritize time and efforts across multiple activities to meet Government requirements.
  • Experience writing white papers, briefings, correspondence, and reports.
  • Experience with Defense Travel Service (DTS) and data transfers.
  • Excellent computer skills in MS Office (Word, Excel, PowerPoint) and databases.
  • Excellent organizational and teambuilding skills, good interpersonal skills.

Desired Qualifications


  • Demonstrated experience with Correspondence and Task Management System (CATMS).
  • Demonstrated experience with Defense Travel System (DTS); maintains an ability to arrange domestic and international travel for government personnel to efficiently accomplish mission requirements. This includes support for all travel and logistical arrangements.
