Position Description

Job Title: Contract Support Assistant

Location: Greenbelt, MD. Tysons, McLean, Reston, Chantilly, Herndon VA

Level: Entry level, Journeyman, Senior


Responsibility & Duties:

More specifically our Contracts Support Assistant will be providing support to various contracting teams across the region, handling administrative tasks and transactions in support of acquisition officers. Support ranges based on the needs of each individual team, but generally may include any or all of the following objectives:

  • Support the drafting, printing and packaging of administrative contract modifications for Contracting Officer (CO) actions; obtain signatures for CO action.
  • File all completed contract modifications, and support maintenance contract files in accordance with policies and procedures, and assist with archiving activities.
  • Compile acquisition packages in support of the CO's review and exaction. Ensure the latest documents versions are printed and note any missing documents or inconsistencies to support the CO's review.
  • Perform data entry and retrieval in contracts and financial databases (enterprise and local) to support contract administration (training to be provided as necessary). Compile data reports as required for government staff review.
  • Execute timely and accurate contract data entry within acquisition databases and tools as appropriate, to include supporting Team Chief and CO's with notification of pending actions.
  • Conduct database research and coordinate with Government Acquisition Officers to help identify unliquidated obligations that require government review and action.
  • Collect, coordinate and prepare draft documentation for cost-type contract settlement actions in support of the CO's review/determination and approval.
  • Collect, coordinate and prepare draft contract documentation in support of the CO in preparation for the settlement of contracts for Contracting Officer review/determination and approval.
  • Coordinate and execute processes for obtaining system accesses; share folder accesses; email group updates for new Officers assigned to the contract team.
  • Coordinate and prepare draft responses to internal data calls and taskings for CO/Contract Team Chief review and approval.
  • Gather weekly report data from different parties and send it to the proper POC.
  • Communicate professionally both orally and in writing with Contracting Personnel, Contractors, or higher-level reviewing officials.
  • Perform administrative functions in support of the above tasks, such as acting as a data transfer officer (DTO), completing various access requests, completing or tracking various contract requests/actions, and more.

Position Requirements

Minimum Qualifications:

  • Bachelor's Degree
  • One year of experience demonstrating financial acumen, which may include, but is not limited to: financial transactions, accounts receivables, accounts payable, banking, contract administration, invoice reconciliation, and data.
  • Experience demonstrating the use of written and verbal communications skills enough to convey complex topics in a clear, concise and unambiguous fashion.
  • Demonstrated experience in applying critical thinking skills and attention to detail.
  • Demonstrated proficiency with the Microsoft Office Suite of tools: Word, Excel and PowerPoint.
  • This position requires access to sensitive U.S. Government systems. Must have an active TS/SCI with Polygraph level Security Clearance.

Desired Skills:

  • Bachelor's Degree in Business, or a related field.
  • Additional experience performing contract management functions beyond the required minimum.
  • Experience with financial database query and report.
