Administrative Specialist

Raytheon Intelligence, Information and Services (IIS), located in Aurora Colorado is seeking an Administrative Specialist to provide support to the GPS OCX program management office, reporting to the deputy program manager. The ideal candidate must be detail oriented and possess excellent organizational skills as well as excellent written and verbal communication skills. The role performs a wide range of administrative tasks and requires a high level of professionalism and the ability to maintain discretion and confidentiality of information. This position requires a proactive self-starter with a strong customer service focus.
Responsibilities will include, but not limited to the following:
  • Managing schedule/calendar for senior leaders, including support in managing schedule conflicts
  • Produce and/or support preparation of briefings, correspondence, and spreadsheets as needed
  • Answer and transfer calls as necessary, order office supplies, and perform other administrative/clerical and ad-hoc tasks as assigned.
  • Arrange travel (air/hotel/transportation) and create and process trip/expense reports and check reimbursements
  • Scheduling and coordinating logistical details for teleconference/video teleconference meetings, as well as all details relating to face to face team meetings
  • Proactively support team with necessary information flow to team members (emails, staff meetings, skip levels, all hands, one-on-one meetings)
  • Record and distribute meeting notes; record, distribute and track meeting action items and handle other routine communications.
  • Coordination of internal meetings and functions, schedule meetings, reserve conference rooms, set up conference calls, register and greet visitors, catering coordination and set-up
  • Arrange off site meeting conference rooms and catering, as needed
  • Support team documentation activities; ensuring all documentation is up-to-date and accurate to include team distribution lists
  • Support facilities planning as it relates to personnel office and cubicle assignments and setup.
  • Support the GPS OCX onboarding and personnel exit process
Required Skills:
  • Proficiency in Microsoft Excel, Word and PowerPoint, Outlook
  • Six (6) years relevant administrative support experience
  • Proficient with extensive scheduling and calendar conflict management
  • Experience preparing travel arrangements and expense reports
  • Excellent organizational skill with attention to detail and responsive
  • Excellent written and verbal communication skills and strong customer service skills
  • A team player with excellent follow-through
  • Ability to obtain a DOD Secret clearance. US citizenship required.
Desired Skills:
  • Previous experience supporting senior-level leaders
  • Experience with Raytheon facilities, catering, and IT requests and processing
  • Ability to work independently as well as part of a team
  • Good interpersonal skills
Required Education (including Major):
•High School Diploma or equivalent
