Administrative Assistant to VP

Northrop Grumman Mission Systems is seeking an Executive Assistant to perform complex, administrative duties in support of the Vice President, Global Cyber Solutions Business Unit. This position will be located in Annapolis Junction, MD.
Roles and Responsibilities:
  • The nature of the position involves exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgment.
  • Interacts with Division, Sector, Corporate and external customer high level executives, administrative, and line management personnel to gather or convey relevant information.
  • Will be responsible for handling executive calendar with precision as well as domestic and international travel plans.
  • Initiates, researches and obtains information for reports and special assignments.
  • May act as coordinator of special projects, following up on pending details, coordinating activities and ensuring deadlines are met.
  • Work is highly confidential in nature and an ability to handle information with discretion is critical.
  • Uses various PC software packages such as PowerPoint, Excel spreadsheets, word processing, graphics, etc., to produce high quality reports, presentations, or other documents.
  • Contacts company personnel at all organizational levels to gather information for reports, projects, meetings and events.
  • Will also be responsible for routine administrative duties: coordinates staff meetings, teleconferences, answers telephones, screens calls and forwards messages, prepares expense reports, and maintains filing system.
  • Answers mail, phone calls, and inquiries, routing correspondence to the appropriate person if necessary.
  • Answers questions relating to executive office operations and established policies and procedures.
  • Recommends new office procedures, processes, or techniques to improve effectiveness.
  • Will be responsible for and expected to anticipate the needs of the VP and business unit front office in the planning of meetings, meeting prep, travel, inquiries etc.
  • Will serve as the senior business unit EA and as the POC for needed communication / coordination across the business unit EA team

Basic Qualifications:

  • High School Diploma and Ten plus years of experience with a minimum of five years supporting senior executives.
  • Demonstrated ability to perform detail oriented work, without close supervision.
  • Excellent verbal and written communications skills.
  • Must be able to independently assess priorities and work with confidential information.
  • Demonstrated ability to manage multiple administrative projects and initiatives.
  • Proficient in Microsoft Word, Excel, Microsoft Access, PowerPoint, and Outlook to produce and distribute email, letters, memoranda, and reports
  • Schedules monthly and quarterly meetings for senior management; coordinates any logistical support for the internal and external meetings, including offsite events.
  • Orders supplies needed using iBuy eProcurement tool.
  • Interfaces with senior level management and senior government customers.
  • Ability to obtain and maintain a TS/SCI Clearance
