Administrative Assistant II - TS/SCI Polygraph

Job Description

Performs a variety of general administrative tasks in support of the day-to-day operations of an office, group or customer.

Core Hours: NLT 0830 AM arrival time; flexible with earlier start time). Provide calendar support for deconfliction of chat rooms and conference rooms. Able to quickly become familiar with a pre-established hierarchy to manage frequent calendar changes, based on management priority. Will answer phone calls in accordance with established protocols. Assist callers with scheduling chat rooms as well as serving as primary POC for team members to notify in the event of unschedued leave. Will provide direct assistance when possible or route the caller to the appropraiate POC when necessary. Greet visitors. Validate that visitors are in the correct place and provide further guidance as necessary. When necessary, will attend meetings and record notes. Schedule and coordinate meetings. Manage access to the vault. Process check-in/out of personnel. Order and manage supplies and manage PTI duties for the office. Track the office budget for supplies, materials, equipment, and notify management if funding is low. Reserve vehicles for office management. Assist with ad-hoc admin and mailing issues and provide back-up duties for front office SA.

1. Performs a variety of general administrative tasks, such as preparing reports and correspondence, answering phones, filing, and sorting and distributing mail, in support of the day-to-day operations of an office, group or customer.

2. Compiles various contract, program, and financial data using various database programs, and prepares monthly status reports based on the results.

3. Collects and inputs timesheet information into automated accounting system and processes labor corrections.

4. Processes purchasing requisitions, invoices for consultants and subcontractors, and travel and expense reports.

5. Serves as point of contact for the office or group on issues related to accounting, human resources, purchasing, and other departments, as well as outside contacts such as customers, vendors, and subcontractors.

6. Participates in special projects as required.

Education

1. Requires a High School Diploma or GED.

2. Associates Degree preferred.

Qualifications

1-3 years of related administrative experience.
