Administrative Assistant II - TS/SCI Polygraph

Performs a variety of general administrative tasks in support of the day-to-day operations of an office group or customer.

Core hours 0900-1400. Back up and support the executive staff answering phones maintaining conference room calendar, and distributing mail and other incoming documents and performing other ad hoc duties. Candidate shall respond to and assist with routine staff needs and occasionally field basic customer questions and inquiries. The candidate will bring more complex inquiries to the attention of the executive officer or appropriate staff member. Prepare new case files by researching information in sponsor databases, and submit requests for additional information based on the results. This information will be added to the office database. Additionally, the candidate will research the status of existing cases and previous cases to assist management in identifying needs of the office and trends. The Administrative Assistant II shall perform quality control reviews of final reports before they are uploaded to the customer's database. The candidate shall notify the customer when a final report has been uploaded to their database for review and prepare the customer's files for return. prepare new case files by researching information in sponsor databases, and submit requests for additional information based on the results. Submit access requests for incoming employees, maintain phone cards for all of the office teams, and update office name plates as necessary. schedule recurring and ad hoc meetings as required. The candidate may participate in meetings and events providing administrative status and be able to serve as recorder. In preparation for meetings, or as required, candidate will consolidate inputs from planned attendees or develop standard briefing slides to create briefing packages/reports and have them available (electronically or hard copy as required) for meeting attendees. The candidate will also help coordinate arrangements for quarterly all hands (in-service) events, including space reservations, agenda, and materials.
