Job Description

Performs a variety of general administrative tasks in support of the day-to-day operations of an office, group or customer.


Core Hrs: 8 hours between 7am-5pm. Later time is necessary dependent on course schedule - a few times per month. Remove all course material from classroom in coordination with the lead instructor. Collect materials, clean tables, lock classroom. Upload course material to the Virtual Learning Center website. Copy/assemble student manuals, emails, handouts, and instructional aids. Coordinate logistics for VTC, classroom, and/or residential training, to include transportation arrangements, meal planning, shipping of course material. Setup classroom, arrange VTC, support instructor. Coordinate with the Lead instructor and Program Managers and be available in the classroom as needed. Send emails to participants, adjuncts, and others according to course schedule. Track emails sent and recipient responses. Setup classroom, clean-up and assist with classroom exercises, escorting speakers or guests. Operate or provide assistance on VTC, Adobe Connect, videos or other audiovisual equipment. Support of other training needs for instructors. Assist with documenting SOP. Manage mailing, receiving, logging, tracking and assessing the completion of courses and materials. Give student course credit and send course evaluations. Answer training credit inquires. Manage appointments for manager or office. Knowledge of MS Office, Internet, and other internal applications. Strong oral and written communication skills.


1. Performs a variety of general administrative tasks, such as preparing reports and correspondence, answering phones, filing, and sorting and distributing mail, in support of the day-to-day operations of an office, group or customer.


2. Compiles various contract, program, and financial data using various database programs, and prepares monthly status reports based on the results.


3. Collects and inputs timesheet information into automated accounting system and processes labor corrections.


4. Processes purchasing requisitions, invoices for consultants and subcontractors, and travel and expense reports.


5. Serves as point of contact for the office or group on issues related to accounting, human resources, purchasing, and other departments, as well as outside contacts such as customers, vendors, and subcontractors.


6. Participates in special projects as required.


1. Requires a High School Diploma or GED.


2. Associates Degree preferred.


1-3 years of related administrative experience.
