Administrative Assistant

Job Description:

The Federal Health Operation has an opening for an Administrative Assistant located at Ft. Detrick, MD. Position is with the Enterprise Information Technology (IT) Project Management Office (PMO), supporting medical research. Candidate will work for the Leidos Project Manager and the Government Project and Deputy Project Managers but is expected to work independently and accomplish assignments without much direction.

Job Description:

The Administrative Assistant performs a wide range of administrative and office support activities for eIT PMO personnel and management, facilitating the efficient operation of the eIT PMO. The Administrative Assistant is the central point of contact (POC) for the eIT PMO and the government Project Manager/Deputy Project Managers and the Leidos Project Manager during normal business hours. Additional responsibilities include: Delegated Authority for Property; Assistant Information Assurance Support Officer; Building Monitor and Service Order POC; and Key Card Access Control POC.

Primary Responsibilities:
  • Supports the project staff by scheduling/coordinating meetings, conference rooms, training facilities, conference calls, special events, etc.
  • Provides general administrative support.
  • Orders office supplies and maintains appropriate supply stock.
  • Submits Service Order Requests for the building to the Garrison Dept. of Public Works.
  • Facilitates in and out processing of personnel.
  • Reviews grammar, punctuation, and formatting for official government correspondence and routes accordingly.
  • Primary POC for official Army and USAMRMC taskers.
  • Maintains USAMRMC mandatory training information and certifications; tracks compliance for both contractors and civilians by initiating workflows.
  • Coordinates CONUS/OCONUS travel/training and expense reimbursements for civilian, military, and contractor personnel.
  • Maintains property book inventory and conducts semi-annual property book audit and submits appropriate reports. Assigned by the government Hand Receipt Holder as the Delegated Authority for Accountable Property (over 200 items). Prepares and submits office equipment purchase requests for approval.
  • Acts as the Assistant Information Assurance Support Officer (AIASO) for PMO supporting the USAMRMC Information Systems Security Manager (ISSM). Responsible for requesting new computer accounts, deleting old accounts, and modifying current accounts for PMO personnel. Creates Army Training and Certification Tracking System accounts and tracks training and certification compliance for general and privileged access users assigned to the eIT PMO.
  • Documents meeting minutes and action items at project meetings. May participate in various working groups and integrated project teams as the Administrative POC.
  • Provides assistance to Headquarters as needed on writing projects and provides assistance with all job-related progress reports/technical reports.
  • Attends safety training and reports any infractions of safety procedures to the facility Safety Officer. Maintains a safe workplace, ensures awareness of and observes safety and occupational health rules and regulations.
  • Performs light duties and other related duties as required and assigned.
  • Maintains and executes Standing Operating Procedures (SOP): Accountable Property, In-and-Out Processing Personnel, and Mandatory Training.
  • Coordinates administrative items with Leidos Life Science Office.
Minimum Qualifications:
  • Must have a High school diploma and at least 5 years' experience.
  • Required to have at least 1 year of DoD or Army administrative experience.
  • Ability to communicate clearly in writing and demonstrate strong interpersonal and customer service skills.
  • Must take initiative, work independently, and perform tasks with minimal direction and strong attention to detail.
  • Must be proficient in Microsoft Office Suite programs including Word, Excel, Adobe, Outlook, Project, and PowerPoint.
  • Must be able to successfully complete a NACI background investigation.
  • Must be a U.S. citizen or verify permanent residency.

Desired Qualifications:
  • Experience with the United States Medical Research and Materiel Command (USAMRMC) and a secondary education in a relevant field is desired.
  • Familiarity with good documentation practices and Army Correspondence guidance
