Administrative Assistant 3/ 4

Description:
Northrop Grumman Technology Services is seeking a lead Administrative Assistant to support the Applied Mission Technologies Director of Programs and staff. This position is based out of Herndon, VA. The selected candidate must be self-motivated and organized, dependable meeting deadlines, able to manage competing priorities, and complete a wide variety of tasks with minimal supervision. The Administrative Assistant will possess leadership characteristics that foster collaboration when working with the team, and the ability to apply sound judgment in decision making. The successful candidate possesses strong interpersonal skills, having the ability to interact with internal customers and senior management with a high degree of professionalism.
Role and Responsibilities:
  • Coordinate and manage executive calendar and all communications
  • Interacts with Sector and Division executives, customer representatives, administrative assistants, and line management to gather or convey relevant information
  • Arranges domestic and international travel, and completes expense reports using Concur
  • Summarizes administrative data, technical and sensitive information to assist the director and staff with day-to-day needs
  • Maintains records of highly sensitive information
  • Collects and interprets all incoming mail to determine required disposition and priority
  • Schedules meetings and teleconferences, and manages meeting planning activities
  • Orders and maintains office supplies using the Northrop Grumman procurement tool
  • Prepares high quality reports, presentations, and other documents using MS Office tools including Excel, Word, and PowerPoint
  • In coordination with Business Development, collects and distributes information for reviews and executive briefings
  • Coordinates activities and facilitates the business unit’s weekly meetings
  • Coordinates facility activities
  • Participates in special projects and other duties as assigned

Basic Qualifications:
  • High School diploma or equivalent
  • Minimum of 4-6 years of directly related administrative experience
  • Highly proficient in MS Office tools (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Ability to obtain/ maintain a U.S. Secret level security clearance

Preferred Qualifications:

  • 6+ years of direct experience in a similar role
  • Experience with iBuy, SAP (or similar), Concur
  • Experience in the defense contracting industry
  • The ability to obtain and/ or maintain a U.S. Top Secret level security clearance
